Write an approval request the client can act on
Name the exact posts and current versions. A batch label such as “October content” is useful context, but it does not identify which wording the client approved. Include a review link, an explicit deadline and a time zone. Ask for an approval or specific changes on each post.
Keep the request focused. If you changed an offer, date or claim, add that detail to the review notes. Check the facts yourself before sending; the client’s approval is one part of your review process.
Choose the message for the stage of review
First request
Use this when the captions are ready and the reviewer has the context needed to decide. Agree who has authority to approve before sending the link.
Reminder while waiting
Use a reminder when a decision is still missing. Give the client a clear next step and ask for a revised review time if needed. Keep unapproved posts on hold; a missed deadline does not turn silence into a yes.
Reapproval after changes
Use this whenever approved wording changes. Increase the version, describe what changed and request a fresh decision on the current text. Keep the earlier decision as a record of the earlier version.
Common questions
Does the generator use AI?
No. It fills a reusable message structure with your details. Review it before sending. It does not verify links, convert time zones or decide whether a claim is accurate.
Can I send the email from here?
Copy the message into your email or client chat and send it there. Nothing is sent automatically.
Can I use it without PostRoom?
Yes. Use your existing document or spreadsheet review link. The email and free approval tracker work on their own.
Does approval include an image or video?
The message asks the client to review matching assets separately. PostRoom’s decisions apply to caption text; use an appropriate asset review process when visual proofing is needed.
